The 8 Best Free Real Estate CRMs of 2022

If you’re going to run a successful real estate business, you’re going to need a real estate CRM. If you are just starting out as an agent, you might not have the budget to invest in a costly CRM.

Fortunately, there are plenty of free real estate CRMs available. Trying them out will help you determine if you’d like to move on to their paid option. Our top picks are based on features they offer in their no-cost versions, agent feedback, and overall quality.

The 5 Best Free Real Estate CRMs

Best Overall: Top Producer

A+
Top Features: Great integration ability, proven track record
FREE Trial Available

Why we chose it: Top Producer is a full-service CRM with one of the industry’s most customizable dashboards. It is one of the top real estate CRMs that comes with a free trial. One particularly awesome innovation is that you can create tabs in your dashboard view to group leads, customers or tasks together and access that info just by clicking the tab (think: Google Chrome with multiple tabs open). Plus, the contact record layout in Top Producer is really clean and highly customizable.

There is another cool feature where Top Producer will reach out and grab a contact’s social media bios and drop them into a record. So, if your contacts have a LinkedIn profile, Top Producer will hold the bio line and add it to the record. Top Producer’s CRM does all the usual stuff you’d expect a high-functioning CRM to do with a few notable additions. Top Producer integrates with your MLS, and you can edit listing alerts right through the CRM and furnish reports based on your prospect’s search behavior. Top Producer’s active listing management interface is unparalleled in the industry. You can edit the listing from the CRM, track all listing activity (including commissions) and visually look at all the critical events that have occurred with a listing: i.e., listing date, price changes, offers received, offer accepted, and closing activities.

Top Producer is to CRMs like what a great pair of orthopedic shoes is to back pain. The shoes aren’t sexy (like, at all), but your back feels great. Top Producer is essentially the granddaddy of real estate CRMs. You could get Top Producer back in the ’80s and load it onto your Commodore 64 computer using a box full of 5-inch floppy discs (ah, the good ol’ days). Top Producer has come a LONG way since its Donkey Kong days.

  • Super customizable
  • Great reporting features
Top Producer Cons

  • Can’t automate SMS currently
  • Task management could be improved

Best for Solo Agents: Insightly

A
Top Features: Easily analyze, visualize, and share all insights about your clients
Free Plan

Why we chose it: Insightly is a great product to start out with because it packs so many features into its free service. Agents can organize contacts and leads and schedule email campaigns. It allows you to create to-do lists for each of your clients and keep track of your progress.

The platform also offers several customizable features. It provides a workable template for emails and pipeline management. And while it only stores up to 2500 contacts, it will allow you to grow your base to the point where you are ready to invest in a paid service.

Insightly provides surprisingly detailed analytics considering it’s a free platform. You can learn about email open rates, times and locations as well as your recipients’ operating systems. This will allow you to determine what’s working and what isn’t so you can improve your campaigns.

You will also receive metrics on your own performance, including contact reports, team reports, and opportunity reports.

While Insightly is a great free platform, it falls short in a few areas. For example, there aren’t many customization options in terms of the dashboard and the language that is used. It’s not a deal breaker, but it means there’s a bit of internal translation necessary for real estate agents. This is something to consider if you are bringing on new agents, or if you are a new agent yourself, as it can be time-consuming to navigate.

The other downside is you also won’t be able to access personal customer service without upgrading to paid plan

Insightly Pros
  • Great tracking and reporting
  • Easy to use
  • Dashboard is comprehensive
Insightly Cons
  • No customer service for free plan
  • Few customization options
  • Time-consuming to navigate

Best for Small Teams: Freshworks

A
Top Features: Leads are equally distributed to your team members hassle free
Free Plan

Why we chose it: Freshworks is great for agents with strong communication skills. Unlike some free CRMs, it allows you to send emails, SMS texts and route phone calls to yourself and the people on your team. Its two-way communication email provides an interface similar to one you’d see in a native browser with added features.

The platform provides the option to add texting for 75 cents a text or $35 a month. You can also add a phone line for phone integration. This differs from other platforms that will make you pay just to have these options.

Freshworks makes it easy to purchase a phone number. You can use the free version to route calls to any phone line you’d like, including setting up a rotation system so that leads are equally distributed to your team members hassle free.

This feature is also great for holidays. You can add holiday calendars and decide how you want to route calls so that leads don’t slip through the cracks when people are out of the office.

One downside of the platform is its email automation. Freshworks does not offer this feature at all. That means that any emails you send will have to be sent manually.

It’s not the end of the world by any means, but if you are thinking about scheduling an email, creating a drip sequence, or doing any sort of communication that isn’t just a one-off, then you’ll have to upgrade. The cheapest plan does unlock these options, but it’s definitely not ideal that no email automation whatsoever is including in the free plan.

Freshworks Pros
  • Leads equally distributed
  • Routes calls easily
  • Calendars can be set to send holiday texts
Freshworks Cons
  • Email automation not included
  • Must pay for phone integration

Best for Large Teams: IXACT Contact

A-
Top Features: Its "Keep in Touch" dashboard makes it easy to manage prospects, leads and contacts
Free Plan

Why we chose it: IXACT Contact was not originally created as a real estate specific CRM, but it does offer a free trial for agents who may be interested in checking out the features. Its most attractive feature may be its ability to integrate your real estate related work into a single location. Other features include email automation, a social stream service that boasts your social media marketing technique, a nice-looking website and excellent customer service.

Its Keep in Touch dashboard also makes the platform worth checking out. It helps you manage prospects, leads and contacts. It reminds you of special dates like birthdays and anniversaries. It also recommends improvement for its drip campaigns.

The IXACT Contact “Keep In Touch Dashboard” is a great solution to the age old question: “How often do I need to reach out to clients?”

As a contact moves through the CRM funnel, IXACT adjusts the frequency of your outreach based on several key factors. Just like any good platform, it makes sure to call out important dates like birthdays or anniversaries that you note in a contact’s lead profile. You can then set up drip campaigns to make sure you are always top of mind with prospective clients.

It’s a simple feature, but produces by powerful results by helping you nurture longer term leads, and build loyal referrals with past clients.

Another plus –  the key contacts you need to call right away are front and center on your homepage Dashboard with reminders that way you can dial them with ease and not forgot your mission.

The biggest downside of IXACT is that it does not offer a free option. Most new users can use it free for five weeks. Agents who got their license in the past year will be able to use it free for 6 months.

After that initial period is over, you must sign up for a paid plan. The good news is – you can test it out to see if you like it and it fits your needs before having to commit.

IXACT Contact Pros
  • Integrates all platforms into single location
  • Automatically adjusts the frequency of your outreach
  • Drip campaigns are easy to set up
IXACT Contact Cons
  • Users can only use it free for five weeks
  • Not technically built for real estate agents

Best for Busy Agents: HubSpot

A-
Top Features: Customize just about every field, pipeline, template, and everything in between
Free Plan

Why we chose it: HubSpot’s free CRM stands out for its contact outreach options. It integrates with your email provider so you can email straight from your profile. You can also automate emails and you will have access to analytics.

The platform also offers plenty of customization. You can customize just about any template or pipeline you use. This sets it apart from other free platforms.

It provides you with extensive contact information so you can see where each is at in the funnel before you contact them. This will help you target the right leads with the right campaigns.

Customization, customization, customization. HubSpot’s free option gives you a surprising amount of freedom. You can customize just about every field, pipeline, template, and everything in between.

This is especially handy because HubSpot was not created with real estate agents in mind. So the ability to setup the platform the way it functions best for you goes a long way to making this platform feel more like home for agents who are still learning the ropes.

One customization feature that should be highlighted is the field options you can choose from on a contact’s profile. There are more than 80 options available for free. Many of these fields are responsive which allows communication with your client to constantly evolve. As the conversation moves along, so do the entries in each field, giving you tons of options.

For example, you can choose to display the last time you emailed your contact, their click-through rate, and even their website activity if they click on one of your Facebook posts linked to your site. When you’ve got an extensive contact database, finding the appropriate lead for a hot new listing can be the difference between a mediocre and a record-setting month.

HubSpot Pros
  • Easily customizable
  • Leads move seamlessly through the funnel
HubSpot Cons
  • Not created with real estate agents in mind
  • Does not let you schedule mass email campaigns

Honorable Mentions

We had a high bar in picking the best of the best real estate CRMs that have free options. These tools didn’t make the cut (frankly, they’re not as great as our top picks – but were also considered).

BitrixBitrix24-logo

Bitrix is ideal for real estate teams. It helps leaders keep track of agents so they can make sure their customers are being taken care of.

The free platform allows up to 12 users to use the platform. It offers an excellent interface between the CRM and team management platform. The two overlap so leaders can decide on strategies and assign them to team members without leaving the Bitrix platform.

bitrix platform

Best Bitrix Feature

Bitrix saves you time and money by allowing you to have seamless communication between clients and team members. Often times brokerages need to have two different systems to manage communication from all angles, but Bitrix allows you to combine the two with their free platform.

When the two systems are set on the same framework, you can decide on strategies for a particular contact and then assign them to team members in the same browser window. This means that you don’t have to walk around with Slack just to communicate with other agents, while also using another platform for your client communication. The interface allows you to easily switch between the two.

This feature leads to a more informed team workforce and fewer leads slipping through the cracks.

Downsides

One downside of the platform is that its entirely cloud based. While cloud based seems to be the way of the future, it can be inconvenient if you don’t have a connection and need to access important documents.

It also offers just five gigabytes of digital storage space which can be very limiting if your entire team is using the platform

Paid Plans

Here are your options when moving on to Bitrix’s paid plans:

  • Start +: This plan provides access to 2 users and offers 10 gigs of storage for $24 a month.
  • CRM +: This plan provides access to 6 users and offers 50 gigs of storage as well as other features for $69 a month.
  • Project Plus: The Project Plus plan can be used by 24 users and provides 50 GBs of storage as well as a variety of other features for $69 a month.
  • Standard Business Plan: This is an advanced business tool suite for 50 users. It offers 100 GB of storage.
  • Professional Business Plan: This business suite tool allows for unlimited users and provides unlimited storage.

Real Officereal office logo

RealOffice360 beats out the competition because it is more suited to real estate agents. It offers lead profiles that address the topics agents need to know such as whether a contact is prequalified for a loan and how long ago they purchased their home. It is also visually appealing and user friendly.

Another outstanding feature is its Opportunity Tracker. This shows you exactly where you are in your pipeline, and it allows you to customize so you can add features where you need them. It also lets you connect your lead generation tool to your tracker so leads will fall into the platform as soon as they come up.

realoffice platform

Best RealOffice360 Feature

RealOffice allows you to track every deal or opportunity in your sales pipeline, everything from leads to closed transactions. You can simply drag-and-drop deals through your sales stages.

It’s never been easier to keep organized with the smart task workflows. If you’re not sure what to do with a lead, the workflows give you suggestions so you’ll always know what to do at every stage.

The visual pipeline helps you track where every client is in your funnel, so you can keep your deals constantly flowing.

Downsides

The biggest downside of RealOffice is, it does not offer any email marketing features. While you can send individual emails and link to your Skype account to make calls from your computer, you won’t be able to launch any drip campaigns.

Paid Plans

RealOffice offers a paid plan called the Premium Plan. You can pay $29 a month or pay an annual fee that breaks down to $19 a month. It includes:

  • Unlimited contacts
  • Lead capture
  • 50 GB storage
  • Personal customer service support
  • Unlimited opportunity cards
  • Email marketing with MailChip
  • App customization

Agileagile crm

Agile wasn’t made specifically for the real estate industry, but it adapts well to meet an agent’s needs. It has a modern, user-friendly interface and it offers a variety of features including contact management, email integration and tracking and reports and analytics.

But Agile really shines for its social media integrations. Users can add widgets to bring their Facebook, Twitter, and other social media contacts into their CRM system. They can even interact with posts through the platform.

agile platform

Best Agile CRM Feature

The social suite feature is by far our favorite thing about Agile. The social listening ability allows you to control the direction of your social media communication. You can monitor brand mentions, gain insights from valuable influencers, and identify customer concerns.

When you actively track the social behavior of your prospects, you can then use that data to better understand where and how your clients are engaging with you. That allows you to use those actionable insights to drive future social media marketing.

Social media is one of the easiest ways to engage with people quickly, that’s why Agile gives you several free options to reach potential clients where they already spend time.

Downsides

Agile falls short due to its confusing features. It looks just like the paid platform, so you might think it has all the same features. But when you try to use them, you’ll find they are unavailable. Once you know what you have access to, things will get easier, but it can be frustrating at first.

Paid Plans

Agile offers three paid plans as follows:

  • Starter: The Starter plan is $8.99 a month. It provides increased access to widgets including capture widgets. It also offers automation options and allows you to add lead generating popups to your website.
  • Regular: The Regular plan is $29.99 a month and it will give you access to all the platform’s features including custom pipelines and dashboard phone integration. It will also let you increase your contacts from 1,000 to 50,000.
  • Enterprise: For $47.99 a month, you can make the platform available to every member of your team.

Zohozoho logo

Zoho doesn’t stand out much as a real estate CRM, but it is a great transaction management tool. Its strongest function involves moving transactions from one stage to the next, which is so valuable in the real estate industry.

For example, it allows you to move clients from “leads” to “contacts” to “deals”. This is especially helpful for agents that work with developers on multi-unit project as well as those in the commercial field.

The platform also has a “Feeds” feature which is great for keeping your team members updated on the latest. This is a continuous stroll that has all the important details of each project. Members can log in to comment, tag team members, update statuses and more.

The feeds are customizable so you can make multiple feeds or design them for each team member.

zoho platform

Best Zoho Feature

The feature that stands out most for us is Zoho’s virtual assistant, Zia, which helps you manage many tasks within the platform. This is an excellent tool if you’re in a meeting and need to pull data on the fly as it saves time and sometimes, face.

You can get in touch with clients sooner as well. Zia analyzes when each client opens an email, answers a call, or visits your website. The other huge advantage that Zoho provides is a suggestion box that lists the best time to contact a prospective client so you don’t get a voicemail, and can get in touch on the first try.

Downsides

While Zoho is a great transaction management tool, it’s not real estate specific. And because it doesn’t provide much customization, you have to use generic sales language. This can get confusing for clients and team members.

If data fields don’t have a clear intent, they may end up becoming discarded, defeating the purpose of using the CRM.

Paid Plans

Zoho offers a wide range of paid plans, including the following:

  • Standard Plan: The Standard Plan is $12 a month. It offers a variety of features, including email insights, customized fields and workflow conversion.
  • Professional Plan: The Professional Plan is $20 a month and offers email automation, analytics and social media integration.
  • Enterprise: The Enterprise Plan offers the system to multiple users. It’s $35 a month.
