If you have it in your budget, you can also boost your referral network with HotSheet’s agent-to-agent referral notification feature for a very affordable monthly fee. It’s a feature that will help save you time and stay on top of referral opportunities. Downsides

Like any CRM, even the free ones, there are a few downsides to consider. With HotSheet there will be a slightly steeper learning curve if you are on the less tech savvy side. 

It’s also good to know there are limited integration options with other software or platforms. So, before you choose HotSheet’s CRM you’ll want to make sure your favorite platforms can connect.

Why we chose it: Insightly is a great product to start out with because it packs so many features into its free service. Agents can organize contacts and leads and schedule email campaigns. It allows you to create to-do lists for each of your clients and keep track of your progress.

The platform also offers several customizable features. It provides a workable template for emails and pipelines. And while it only stores up to 2500 contacts, it will allow you to grow your base to the point where you are ready to invest in a paid service.

Insightly provides surprisingly detailed analytics considering it’s a free platform. You can learn about email open rates, times and locations as well as recipients’ operating systems. This will allow you to determine what’s working and what isn’t so you can improve your campaigns.

You will also receive metrics on your own performance, including contact reports, team reports, and opportunity reports.

Best Insightly Feature

The reporting is by far and away the best feature that Insightly has to offer. You can pull helpful metrics, like contact reports, team reports, and overall opportunity reports.

You can easily analyze, visualize, and share all insights about your customers. Insightly allows you to quickly create comprehensive reports that show the performance of campaigns and reveal what’s working and what’s not, so you don’t waste time doing something that’s not producing results.

Downsides

While Insightly is a great free platform, it falls short in a few areas. For example, there aren’t many customization options in terms of the dashboard and the language that is used. It’s not a deal breaker, but it means there’s a bit of internal translation necessary for real estate agents. This is something to consider if you are bringing on new agents, or if you are a new agent yourself, as it can be time-consuming to navigate.

The other downside is you also won’t be able to access personal customer service without upgrading to paid plan

Best Free CRM for Lead Nurturing: Freshworks

Why we chose it: Freshworks is great for agents with strong communication skills. Unlike some free CRMs, it allows you to send emails, SMS texts and route phone calls to yourself and the people on your team. Its two-way communication email provides an interface similar to one you’d see in a native browser with added features.

The platform provides the option to add texting for 75 cents a text or $35 a month. You can also add a phone line for phone integration. This differs from other platforms that will make you pay just to have these options.

Best Freshworks Feature

Freshworks makes it easy to purchase a phone number. You can use the free version to route calls to any phone line you’d like, including setting up a rotation system so that leads are equally distributed to your team members hassle free.

This feature is also great for holidays. You can add holiday calendars and decide how you want to route calls so that leads don’t slip through the cracks when people are out of the office.

Downsides

One downside of the platform is its email automation. It does not offer this feature at all. That means that any emails you send will have to be sent manually.

It’s not the end of the world by any means, but if you are thinking about scheduling an email, creating a drip sequence, or doing any sort of communication that isn’t just a one-off, then you’ll have to upgrade. The cheapest plan does unlock these options, but it’s definitely not ideal that no email automation whatsoever is including in the free plan.

When you’re ready to move on from the free platform, there are plenty of options available. Here’s what you are looking at:

  • Blossom: For $12 a month you will have access to free caller integration, lead analytics and automated workflows.
  • Garden: This $25 plan offers more sophisticated ideas on how to generate real estate leads and comes with increased customization.

Its most attractive feature may be its ability to integrate your real estate related work into a single location. Other features include email automation, a social stream service that boasts your social media marketing technique, a nice-looking website and excellent customer service.

Its Keep in Touch dashboard also makes the platform worth checking out. It helps you manage prospects, leads and contacts. It reminds you of special dates like birthdays and anniversaries. It also recommends improvement for its drip campaigns.

Best IXACT Contact Feature

The IXACT Contact “Keep In Touch Dashboard” is a great solution to the age old question: “How often do I need to reach out to clients?”

As a contact moves through the CRM funnel, IXACT adjusts the frequency of your outreach based on several key factors. Just like any good platform, it makes sure to call out important dates like birthdays or anniversaries that you note in a contact’s lead profile. You can then set up drip campaigns to make sure you are always top of mind with prospective clients.

It’s a simple feature, but produces by powerful results by helping you nurture longer term leads, and build loyal referrals with past clients.

Another plus –  the key contacts you need to call right away are front and center on your homepage Dashboard with reminders that way you can dial them with ease and not forgot your mission.

Downsides

The biggest downside of IXACT Contact is that it does not offer a free option. Most new users can use it free for five weeks. Agents who got their license in the past year will be able to use it free for 6 months.

After that initial period is over, you must sign up for a paid plan. The good news is – you can test it out to see if you like it and it fits your needs before having to commit.

The IXACT Contact paid plan starts at $33 a month. It includes unlimited phone support, an automated newsletter, access to the mobile app and a website. For an additional $13 a month, you can add IDS search. Another $20 will get you the social stream and other a la carte features.

Best Free Real Estate CRM for Lead Generation: HubSpot

The platform also offers plenty of customization. You can customize just about any template or pipeline you use. This sets it apart from other free platforms.

It provides you with extensive contact information so you can see where each is at in the funnel before you contact them. This will help you target the right leads with the right campaigns.

Customization, customization, customization. HubSpot’s free CRM gives you a surprising amount of freedom. You can customize just about every field, pipeline, template, and everything in between.

This is especially handy because HubSpot was not created with real estate agents in mind. So the ability to setup the platform the way it functions best for you goes a long way to making this platform feel more like home for agents who are still learning the ropes.

One customization feature that should be highlighted is the field options you can choose from on a contact’s profile. There are more than 80 options available for free. Many of these fields are responsive which allows communication with your client to constantly evolve. As the conversation moves along, so do the entries in each field, giving you tons of options.

For example, you can choose to display the last time you emailed your contact, their click-through rate, and even their website activity if they click on one of your Facebook posts linked to your site. When you’ve got an extensive contact database, finding the appropriate lead for a hot new listing can be the difference between a mediocre and a record-setting month.

Downsides

While HubSpot’s free CRM lets you schedule one off emails, it does not let you schedule mass email campaigns. This can make launching email campaigns a time-consuming process. And like so many other free platforms it does not provide you with personal customer service.

Paid Plans

HubSpot’s free CRM offers a variety of a la carte services. For example, you can pay for features that allow you to make calls from your dashboard, schedule appointments through Google calendar and take notes on interactions. There are paid tools that will let you launch drip campaigns. But if you add each separately, costs will add up quickly.

You may be better off going with their Starter Growth Suite which costs $113 a month. They also offer a Professional Growth Suite for $1200 a month but investing in that is likely to get you more features than you need.

Best Free Real Estate CRM for Large Teams: Bitrix

The free platform allows up to 12 users to use the platform. It offers an excellent interface between the CRM and team management platform. The two overlap so leaders can decide on strategies and assign them to team members without leaving the Bitrix platform.

Best Bitrix Feature

Bitrix saves you time and money by allowing you to have seamless communication between clients and team members. Often times brokerages need to have two different systems to manage communication from all angles, but Bitrix allows you to combine the two with their free platform.

When the two systems are set on the same framework, you can decide on strategies for a particular contact and then assign them to team members in the same browser window. This means that you don’t have to walk around with Slack just to communicate with other agents, while also using another platform for your client communication. The interface allows you to easily switch between the two.

This feature leads to a more informed team workforce and fewer leads slipping through the cracks.

Downsides

One downside of the platform is that its entirely cloud based. While cloud based seems to be the way of the future, it can be inconvenient if you don’t have a connection and need to access important documents.

It also offers just five gigabytes of digital storage space which can be very limiting if your entire team is using the platform

Downsides

Agile falls short due to its confusing features. It looks just like the paid platform, so you might think it has all the same features. But when you try to use them, you’ll find they are unavailable. Once you know what you have access to, things will get easier, but it can be frustrating at first.

The feature that stands out most for us is Zoho’s virtual assistant, Zia, which helps you manage many tasks within the platform. This is an excellent tool if you’re in a meeting and need to pull data on the fly as it saves time and sometimes, face.

You can get in touch with clients sooner as well. Zia analyzes when each client opens an email, answers a call, or visits your website. The other huge advantage that Zoho provides is a suggestion box that lists the best time to contact a prospective client so you don’t get a voicemail, and can get in touch on the first try.

Downsides

While Zoho is a great transaction management tool, it’s not real estate specific. And because it doesn’t provide much customization, you have to use generic sales language. This can get confusing for clients and team members.

If data fields don’t have a clear intent, they may end up becoming discarded, defeating the purpose of using the CRM.

  1. Value: Not all free real estate CRMs are created equal, so it’s important to look at what’s included when you sign up. Some companies offer free trials while other have free long-term plans, which is why we take into account the type of CRM and compare it to the features and extra resources provided to help each agent succeed.
  2.
